Overview:

The main responsibility of the Digital Operations Assistant is to work with the digital operations team to coordinate, track and prep merchandise for all RTW Ecomm photo shoots and special projects throughout the various stages of the production process. These tasks will include:  organizing, preparing and executing shot lists, managing the post-production process through final file delivery and assisting with general production responsibilities as needed.

Responsibilities:

Pre-Production / Sample Coordination

Responsible for organizing shot lists for all RTW Ecomm PDP photo shoots

  • Collaborate with internal departments to ensure samples are received on time
  • Responsible for gathering/pulling/ordering from warehouse – all samples needed for shoot
  • Update product tracking and job tracking
  • Responsible for unpacking, checking in/out, and returning of all samples used at a shoot
  • Constantly update shot list with sample status and alert Producer
  • Coordinate meetings with Stylist and merchandising team to ensure samples are correct to shoot while documenting necessary retouching adjustments
  • Work with Stylist to confirm looks and finalize shot list

 

Work with Producer to effectively plan and confirm shoot dates, based on sample availability, in order to maximize budget

 

Assist with special projects as needed

  • Gather merchandise for special editorial shoots and assist with messengering to/from studios
  • Responsible for merchandise returning to office from shoot and checking back into system

On Set: During Shoots

Work with digital tech to review shot list and file naming process

  • Make sure digital tech and/or video tech fully understands the file naming system and check in with them frequently to guarantee accuracy
  • At the end of the shoot day, make sure digital tech transfers all files to the TB hard drive and wide selects are uploaded to system for approvals.
  • Coordinates samples between still life & RTW Shoots
  • Work with retoucher to organize apparel color matching
  • Assist Producer as needed

 

Post Production

Manage the post production / retouching process for all PDP RTW imagery

  • Coordinate and communicate retouching schedule to retoucher
  • Work with Producer on post production schedule and provide status update to team at weekly meeting
  • Make sure approvals of selects are made on time
  • Communicate with retoucher on a daily basis making certain special retouching directions are followed and urgent images are prioritized
  • Review all images for product accuracy and ensure merchandise adjustments have been made
  • In charge of tracking every image through the post production process including passing off to the appropriate person for next steps
  • Update Producer on timing and/or risks of delay
  • Upload final images to Scene 7 and alert internal team(s)

 

Assist with post production of special photography shoots as needed

  • Ensure final images are uploaded to drive and team is made aware

 

Assist with daily maintenance of all photo shoot related invoices

  • Partner with producer to make sure all invoices are reviewed and signed off on, upon receipt
  • Code all invoices and submit to AP asap
  • Communicate with AP as needed
  • In charge of filing hard copies of invoices in production binder and making sure binder stays organized

 

ADDITIONAL RESPONSIBILITIES

  • Manage a large daily volume of projects/samples
  • Communicate status of merchandise/products shot with cross-functional teams as needed
  • Periodically check Toryburch.com for correctness and proactively pass on as needed to Manager or Ecomm team and follow up to guarantee resolution
Qualifications:

EDUCATION & PRIOR EXPERIENCE NEEDED

  • Bachelor’s degree or equivalent
  • 0-1 year prior experience in merchandise coordination or trafficking
  • Proficient in MS Word, Excel, Powerpoint/Keynote, Outlook, Adobe Creative Suite a plus
